Donor Data Policy
This policy describes how donor and contact information entered into SailingMoney is stored, used, and protected. We take donor privacy seriously and have designed the platform to give teams full ownership and control of their donor relationships.
1. What Donor Data We Store
When you add a contact or donor to SailingMoney, we store the information you provide, which may include:
- Full name, email address, phone number
- Organization affiliation and job title
- Tags and categories (e.g., "sponsor," "yacht-club," "family")
- Donation history (amounts, dates, payment methods, notes)
- Contact history and follow-up reminders
- RSVP responses for team events
- Internal notes entered by team members
This data is stored in a secure database associated with your team account. No donor financial account details (bank accounts, credit card numbers) are stored in SailingMoney — donations are logged manually by team members as records.
2. Who Can Access Donor Data
Donor and contact data is accessible only to authenticated members of your team within SailingMoney. Access is scoped to the team that created the data:
- Team owners and administrators have full read/write access
- Regular team members have access as permitted by team settings
- SailingMoney engineering staff may access data only when investigating a reported technical issue, and only with the minimum access necessary
- SailingMoney does not grant any third party access to your donor data
3. We Do Not Sell or Share Donor Data
SailingMoney does not sell, rent, license, or share your donor or contact data with any third party for their own commercial purposes.
We do not use donor data for advertising targeting — neither our own ads nor ads on behalf of third parties. We do not combine your donor lists with data from other teams or with any external data brokers.
The only data transfers that occur are:
- Processing by our hosting infrastructure (storage, database) under data processing agreements that prohibit any independent use
- Transmission to Lob (physical mail service, Pro plan only) of the name and mailing address required to fulfill a physical thank-you card — and only when you explicitly trigger this action
- Transfers required by valid legal process (court orders, subpoenas) where we are legally compelled to disclose information
4. Donor Rights and Team Responsibilities
When you collect contact information from donors and enter it into SailingMoney, you take on responsibility as a data controller for that information under applicable privacy laws (including GDPR for EU-resident donors and CCPA for California residents).
Your obligations as a team using SailingMoney include:
- Having a lawful basis for storing and processing donor contact information
- Providing donors with notice of how their data is used when you collect it
- Honoring requests from donors to access, correct, or delete their information
- Not using donor email addresses for purposes beyond the fundraising relationship (e.g., not adding them to unrelated marketing lists)
SailingMoney provides tools to help you fulfill these obligations, including donor record export and deletion capabilities. If a donor contacts us directly with a privacy request, we will direct them to you as the responsible party.
5. Newsletters and Communications
When you send a newsletter through SailingMoney, recipient email addresses from your contact list are used solely to deliver that specific communication. SailingMoney does not retain recipient lists for our own marketing use.
You are responsible for ensuring you have appropriate permission to email your contacts. SailingMoney prohibits the Service from being used to send unsolicited commercial email.
6. Data Portability and Deletion
You can export your full contact and donation database at any time from the dashboard. Exports are provided in CSV format for portability.
You can delete individual contacts or your entire team account from settings. Contact deletion is permanent and will remove all associated donation records, notes, and communication history. Following team account closure, all data is purged within 90 days.
